Back Office Assistant

Job Title: Back Office Assistant

Department: Recruitment & Training Support

Reporting To: HR Executive / Manager


Job Summary:

The Back Office Assistant will provide administrative and operational support to the recruitment and training teams. The role involves managing data, coordinating candidate communication, maintaining records, and ensuring smooth internal processes to support business operations efficiently.


Key Responsibilities:

Recruitment Support

  • Assist HR team in sourcing candidate profiles from job portals and social media.

  • Maintain candidate database and update tracking sheets regularly.

  • Schedule and coordinate interviews (internal and client-side).

  • Handle follow-ups with candidates for interview status and joining formalities.

  • Prepare candidate summary sheets and share with HR Executive/Manager.

Training Support

  • Maintain training schedules, attendance sheets, and participant data.

  • Prepare and circulate training-related communication (emails, reminders, certificates).

  • Support in creating training materials and maintaining feedback forms.

Administrative & Data Management

  • Manage daily office documentation, filing, and record-keeping (digital & physical).

  • Prepare MIS reports for recruitment, attendance, and other activities.

  • Coordinate with vendors and clients for documentation and logistics.

  • Ensure proper communication flow within teams and maintain confidentiality.

Other Responsibilities

  • Assist management in preparing presentations, proposals, and reports.

  • Support HR events, employee engagement activities, and meetings.

  • Handle basic correspondence and calls professionally.

Qualification & Experience:

  • Minimum: Graduate in any stream (BBA / B.Com / BA preferred).

  • Experience: 0–2 years (freshers with good communication skills can apply).


Work Environment:

  • Office-based role (full-time).

  • Collaborative environment with HR, Recruitment, and Training teams.
